1. Begin with your clinic-approved protocol
Choose a surgery, dental or other post-visit protocol your team already uses. Separate care instructions, check-in questions, requested photos and follow-up appointments. Review the wording and timing for each patient rather than treating the template as a prescription.
2. Make the owner’s next steps clear
Before discharge, explain where the care plan lives, which updates the clinic expects and when. Confirm the owner can open the link and understands how to reach the clinic. Tell owners how to handle urgent concerns directly; a check-in inbox must not be presented as an emergency service.
3. Ask for consistent updates
Use the questions your clinic needs to review progress. Leave room for a note and request photos only where appropriate to that protocol. An owner should not have to repeat the same concern in several fields. Set a reasonable check-in window before treating an update as overdue.
4. Give the review queue an owner
Agree which team member checks incoming concerns, who covers absences and how clinical decisions are escalated. Review flagged observations alongside the care plan, previous messages and photos. Decide whether to reply, arrange follow-up or mark the update reviewed. Software organizes the information; the clinic decides what care is appropriate.
5. Keep the response with the recovery record
Record the clinic’s response where the team can see it and the owner can find it. Check that responsibility and the next action are clear. At closure, preserve the recovery summary in your normal records process. 6. Evaluate one complete loop
Begin with a fictional case. Have a staff member tailor a plan, another act as the owner and submit an update, and a reviewer respond. Then evaluate repeated use in the environment approved for your clinic. Track where work was duplicated, which questions owners misunderstood and whether staff knew what needed attention. Do not infer time saved or clinical improvement without measuring it.

- A named person monitoring concerns, with cover arranged.
- One fictional plan → owner update → clinic review/reply completed.
- A process for preserving the summary with existing records.
