Prepare the call and its purpose
Confirm why the call is needed and check the approved plan and earlier conversation. Name the staff role making the call, the reviewer for any care question and the record where the outcome belongs.
Use your clinic's identity-check process and the owner's recorded contact and voicemail preferences before discussing patient information. The examples below leave patient-specific wording as placeholders; complete them only in approved clinic systems.
These are administrative scripts, not a clinical questionnaire. The treating team supplies care questions, response handling and urgent contact instructions. No script here sets a treatment plan, response deadline or post-operative calling schedule.
When you reach the owner
Use only the parts relevant to the approved reason for the call. The opening does not replace the clinic's identity check.
- Opening
- Hello, this is [staff role] calling from [clinic]. [Complete the clinic-approved identity check before discussing the case.] Is now a suitable time to speak?
- Purpose
- We are following up on [clinic-approved purpose]. I would like to [explain the agreed next step or ask the questions supplied by the clinical reviewer].
- Clinic questions
- [Use the treating team's approved questions and patient-specific wording. Record the owner's report without adding a diagnosis or changing the plan.]
- Confirm the next step
- The next step is [approved action]. [Responsible role] will handle it through [clinic-approved process]. Is there anything about that next step you would like explained?
- Record the outcome
- [Record that the owner was reached, the relevant response, any unanswered question and the role accepting the next action.]
If it is not a suitable time, agree the next contact step through the clinic's normal process. An attempted call is not a completed conversation.
If a clinical question remains open, route it to the treating team. Do not turn an administrative acknowledgement into a clinical answer or promise availability the clinic has not approved.

When there is no answer
- Generic callback message
- Hello, this is [clinic name]. Please call us on [clinic-approved number] and ask for [team or role]. Thank you.
- If no voicemail should be left
- [Record the unsuccessful contact attempt and follow the clinic-approved next-contact process. Do not leave a message by assumption.]
- Record the attempt
- [Record when the attempt occurred, whether a permitted message was left, and who owns the next action.]
First check whether the clinic's process and the owner's recorded preferences allow a voicemail. When a message is appropriate, use neutral wording and the clinic's approved callback details.
Keep patient details, clinical information and private recovery links out of a generic callback voicemail. Follow the clinic's actual approved message wording and contact preferences.
No answer does not establish that the owner received the message, declined care or that the patient is recovering well. Keep any outstanding review action visible.

When the owner needs help finding the plan
- Start with the unclear step
- Which step is unclear: opening the plan, finding the questions or finding the clinic's reply?
- Use the approved help route
- I can explain [clinic-approved access-help process]. [Check the relevant step without asking the owner to send a private link through an unapproved channel.]
- Check the result
- Can you now find [the plan or the reply discussed]? [If not, record the remaining access problem and name the role handling it.]
Record an access problem as an access problem. It does not by itself describe the patient's clinical condition. Keep any separate care question available for the clinical reviewer.
Do not promise a reset, invitation, automatic message or other action unless it is part of the clinic's actual supported process.
When follow-up or a clinical answer is still outstanding
- Follow-up needed, not yet booked
- The approved plan records that follow-up is needed, but an appointment has not yet been confirmed. We will use [clinic booking process] to arrange it. [Name the role handling the arrangement.]
- Question for the clinical reviewer
- I have recorded your question for [clinical team or role] through [approved review process]. [Give only the contact expectations and urgent instructions approved by the clinic.]
- Confirm what is still open
- The item still to resolve is [question or arrangement]. [Responsible role] owns the next step through [approved process].
Use the booking wording only when the plan actually requires follow-up. An appointment remains not yet scheduled until it is confirmed through the clinic's normal process.
Use the clinic-approved urgent and out-of-hours contact wording when needed. Do not tell an owner to wait for a routine callback in place of that guidance.
A fictional access-help call and handover
Training Clinic G and Practice Case H are fictional. A staff member acting as the owner cannot find the clinic's practice reply. The exercise uses an approved training record and sends no real call, invitation or message.
Coordinator G rehearses the opening and confirms the purpose of the call. The person acting as the owner says they can open the plan but cannot find the reply. Coordinator G demonstrates the approved training route and asks whether the reply is now visible.
The practice reply can now be found, so that access-help action is recorded as complete. A separate fictional appointment arrangement remains not yet scheduled. Coordinator G retains responsibility until Cover H accepts the booking action and records the agreed next step.
The team reviews the record: the access question was answered, the appointment is still open and no clinical assessment was made. The exercise does not establish a patient outcome or a reduction in staff workload.
Keep the phone outcome connected to recovery follow-up
Use these scripts through your clinic's existing phone process. Vet Aftercare supports clinic-authored plans, owner check-ins and clinic replies within the recovery workflow. It does not place these calls, send a voicemail or import a completed script.
Record relevant phone communication in the clinic's approved record. Patient setup and any transfer to your PIMS remain manual. Agree how the team will find the response and who handles any unfinished action.
