Clinic software buyer's guide

How to choose veterinary follow-up software

Start with the follow-up work your clinic needs to organise. This guide helps practice managers, lead technicians and clinicians compare a recovery workspace with their existing process, define essential capabilities and run a fictional evaluation before making a decision.

Define the workflow you are buying for

Write down where the current process loses clarity: preparing the plan, explaining owner access, collecting updates, reviewing concerns, covering absences or retaining the recovery summary. Give the review work a responsible staff role before adding a channel.

Decide whether you need recovery follow-through, general client communication or a replacement practice-management system. Vet Aftercare is a separate recovery workspace. It does not replace a complete PIMS or automatically synchronise patient records with one.

If automatic PIMS synchronisation or a specific messaging channel is essential, verify that requirement directly with each vendor. Do not assume it from a broad communication-software description.

Compare the capabilities that affect daily work

Clinic-authored protocols
Can staff prepare a reusable starting point and review patient-specific wording and timing before sharing it? Vet Aftercare supports clinic-authored protocols and personalised plans.
Owner access and updates
How does an owner find the plan, submit an update and see a clinic reply? Vet Aftercare uses private browser links; owners do not create clinic staff accounts.
Review responsibility and cover
Can the team see which updates need attention and who is handling them? Review the product's actual queue and handover process, not only its dashboard totals.
Questions, notes and media
Can the clinic choose appropriate questions and review a note or requested image with context? Vet Aftercare connects owner check-ins, notes and recovery media with the case.
Messages and review coverage
Which channels are actually supported, and what expectations will your clinic explain? Vet Aftercare supports clinic replies in the recovery workflow; it is not an emergency service or a guarantee of response time.
PIMS and records process
Which details need manual entry, and how is the summary retained? Vet Aftercare requires manual patient setup and does not automatically synchronise with your PIMS; recovery summaries can be exported for your normal records process.
Privacy and staff access
Ask how private links, staff roles, retention and access changes are handled, and review the vendor's current documentation against your clinic's requirements before using real records.
Cost and trial terms
Check currency, billing interval, taxes, team/case limits, cancellation terms and what happens at trial expiry. Compare them alongside setup and review workload.

Mark each item essential, useful or unnecessary for your clinic. Record both the vendor's documented answer and what the team actually verifies in its approved evaluation environment.

You can inspect Vet Aftercare's fictional public demo before creating an account. During an evaluation, staff configure protocols and plans manually. None of these planning resources import automatically.

Vet Aftercare's current monthly offer is US$29 or CA$39 per clinic, with unlimited clinic team accounts. The trial lasts 30 days, requires no credit card and does not automatically charge. Choosing whether to continue is separate from starting the trial.

The price alone does not establish value for a clinic. Record the manual work your team performs and whether a new workspace solves an important follow-up problem. Do not assume a time saving or clinical improvement from a feature list.

Run a fictional workflow evaluation

  1. Choose an existing clinic-approved protocol and a clinical reviewer. Use fictional information in the environment approved for the evaluation.
  2. Have one staff member prepare the sample plan and another act as the owner. Check that the access explanation and requested update are understandable.
  3. Submit a practice update, review it in context and post a practice acknowledgement. Introduce an administrative handover so cover responsibility can be checked.
  4. Find the recorded reply and review how the summary would enter the normal clinic record. Note any duplicated entry or uncertainty.
  5. Score the essential capabilities using what the team observed, and keep any unverified requirement open.

Discuss with your team

  • Could the reviewer find the update and understand who owned the next action?
  • Could the person acting as the owner find the plan and clinic reply?
  • Which setup or record-transfer steps required manual work?
  • Which essential requirement was still unsupported or unverified?

A fictional buying decision

Training Clinic B already uses a PIMS and wants a clearer recovery review process. Its staff can accept manual patient entry, need a reviewer and cover, and want a summary for their existing records. Automatic PIMS synchronisation is not one of its requirements.

The team uses the checklist to define its essential capabilities and rehearses a fictional plan, owner update and clinic reply. It records where staff repeated work and leaves privacy-document review and ongoing workload assessment as open questions.

That is enough to identify the next evaluation steps, not to claim the clinic adopted the product or achieved an outcome. If a different clinic requires automatic PIMS synchronisation, that is a material gap for Vet Aftercare and should remain visible in its decision.

Choose the next useful step

If the workflow fits your team's needs, evaluate one complete fictional loop with your clinical reviewer and staff roles. If a requirement is unclear, ask for a specific answer before putting it into your clinic's process.
