Clinic communication resource

A recovery communication plan for veterinary teams

Agree how your team handles recovery updates before giving owners another way to contact the clinic. This free communication plan template records the purpose of each channel, who reviews it and what owners are told. Copy it into your clinic-approved document and adapt it with your clinical lead.

Plan the conversation across the workflow

Use this worksheet for the clinic's recovery communication process across cases. The discharge handoff records one patient's approved arrangements; the follow-up tracker records the next unfinished action. This plan establishes the shared expectations that sit behind both.

Start with the channels your clinic actually supports. A private recovery update, a phone call and an appointment request can have different purposes and review arrangements. Decide where each belongs, then explain those distinctions consistently to owners.

The clinical lead approves care-related wording and urgent contact instructions. Staff should describe the coverage the clinic can provide, rather than promising that every message will be read immediately.

Workflow and approver
[Recovery workflow covered, plan version, approving clinical lead and review date]
Channel and purpose
[Supported channel, what owners use it for, and requests directed elsewhere]
Owner access explanation
[How staff explain access, check understanding and help with access difficulties]
Expected owner updates
[Where clinician-approved questions and update windows are recorded for each patient]
Review coverage
[Staffed review periods and local time zone; use the clinic's actual arrangements]
Reviewer and cover
[Reviewing role, cover role and how an unfinished action is accepted]
Acknowledgement and clinical reply
[Who can acknowledge receipt, who provides clinical answers and where each is recorded]
Unanswered questions
[How open questions remain visible, with a responsible role and next action]
Urgent and out-of-hours contact
[Clinic-approved wording and contact route, supplied by the clinical lead]
Record and review
[Where relevant communication is retained, who checks the process and when it is reviewed]

Check that an acknowledgement cannot be mistaken for a clinical answer. If a question still needs a clinician, keep it open and make the next responsible role clear. Record what was actually said; do not mark a question answered merely because a message was opened.

An expected update needs the patient-specific window approved by the clinic. A missing update is not evidence that the owner declined care or that the patient is doing well. Use the clinic's agreed review process when an expected response is absent.

A complete fictional communication plan

Training Clinic C is rehearsing a recovery conversation with staff acting as the owner and clinic team. These are fictional roles and training sessions, not a real clinic's service commitments.

Workflow and approver
Practice recovery workflow, version 1; Training Clinical Lead approves the exercise wording before use
Channel and purpose
The approved training recovery workspace holds practice updates and replies; appointment booking follows the separate training reception process
Owner access explanation
Coordinator C explains how to open the practice plan and find a reply; a second staff member repeats the steps in their own words
Expected owner updates
The sample plan contains the reviewer-approved questions and practice window; no clinical schedule is supplied by this example
Review coverage
Practice session A only; staff explain the exercise coverage before beginning
Reviewer and cover
Reviewer C handles the update; Cover D confirms acceptance of the remaining action before the session handover
Acknowledgement and clinical reply
Coordinator C can acknowledge the access question. Any question about care wording goes to Training Clinical Lead rather than being answered from memory
Unanswered questions
A request to clarify where the reply appears remains open until Reviewer C demonstrates it and records the result
Urgent and out-of-hours contact
The exercise uses only approved training contact wording; no real call, invitation or message is sent
Record and review
The coordinator retains the practice conversation in the approved training record; the team reviews gaps at the end of the session

During the exercise, the person acting as the owner sends an appointment question through the recovery route. The coordinator explains the agreed booking route without assuming that the appointment has been scheduled. The next action stays with the person arranging it.

The team then rehearses an absence. Cover D accepts the open action and finds the earlier conversation without asking the owner to repeat it. Record any channel confusion before approving the communication plan.

Check the wording owners will receive

  1. Read the access explanation aloud and check that the owner can find both the plan and a clinic reply.
  2. Compare the stated review coverage with the staff actually assigned to provide it.
  3. Confirm that urgent contact wording comes from the clinic and does not direct owners to wait for a recovery-message response.
  4. Rehearse an unanswered question, an appointment request and a staff absence using fictional information.
  5. Keep the approved wording and any subsequent changes with the clinic's normal process documents.

Keep recovery conversations connected

Vet Aftercare connects clinic-authored plans, owner check-ins and clinic replies with a recovery record. Your team still defines coverage, reviews the context and makes clinical decisions. The communication worksheet does not send messages, create staff assignments or set a service promise in the product.

Staff enter patient details and configure plans manually. Vet Aftercare does not automatically synchronise with your PIMS. Use the clinic's normal record process for communication that needs to be retained there.
